Mail Merges Using Word and Access

Post by hlewton »

I have a lot of mail merges that use Avery 5160 Labels, 3 labels across and 10 labels down, for total of 30 labels per sheet. Please see the attachment and even though it does not show the entire sheet of labels, there is enough for my question. I would like to move the beginning of each line in each label to the right about 3 or 4 spaces. is there an easy way of doing this without having to manually edit each line in each label? I forgot to mention, the city and state and zip code are not showing in the attachment. They are below the last line you can see, but they are there, which makes it difficult to manually edit them.

Thanks

Try modifying the Left Indent of the style used by the labels:
- Right-click the style in the Styles group of the Home tab of the ribbon.
- Select Modify... from the context menu.
- Select Paragraph.... from the Format drop down.
- Set the Left indentation to (for example) 0.3" or 0.4" - you'll have to experiment.
- Click OK, then click OK.
Best wishes,
Hans

Thank you very much. I will give that a try.

Please see the attachments because if I am following you correctly, after choosing "Modify" I can't choose "Paragraph" since it is grayed out. When I click on Style the Normal seems to me to be what is chosen since it is in a rectangular box. I then Right Clicked on Normal and chose Modify but Paragraph was not an option.

If I click on "Style For Following Paragraph," there is nothing I saw, from a long list of options, that would move my merge fields to the Right. I experimented with the choices immediately above the text box, but nothing there seemed to affect the entire document.

Click the Format button in the lower left corner of the dialog.
Can you select Paragraph... from the drop down menu?

I can really mess it up by playing with the Alignment option but when adjusting the Indentation, no matter how much, it doesn't seem to make any difference. I tried with just the first label and then did a Control A to highlight the entire document and it still didn't make a difference. If I am doing things, as you suggest, I'm afraid it isn't going to work for me.

Select the table that contains the labels.
Press Ctrl+Q. This should "reset" the paragraph formatting to that of the style.

Hans

Just wanted to document the steps it took, with the help of HansV, to solve my problem. Documenting it here will help me in the future when I need it again.

Modifying Merge Document To Move Indent:

Try modifying the Left Indent of the style used by the labels:
- Right-click the style in the Styles group of the Home tab of the ribbon.
- Select Modify... from the context menu.
- Select Paragraph.... from the Format drop down.
- Set the Left indentation to (for example) 0.3" or 0.4" - you'll have to experiment.
- Click OK, then click OK.

Click the Format button in the lower left corner of the dialog.
Can you select Paragraph... from the drop down menu?
Picture1.png

Selected Paragraph and set Left Indent to 2

Select the table that contains the labels.

Choose Blue Layout Tab to the far-right past Table Design Tab
Selected Table Far Left Tab
Press Ctrl+Q.
This should "reset" the paragraph formatting to that of the style.

Pressing Ctrl+Q did the trick. It moved the labels to the right .2”.
