Display of navigation pane Calendar archive names

Post by jmt356 »

I have 6 archive psts:
ArchiveFolders1.pst (contains 2007 archived items)
ArchiveFolders2.pst (contains 2008 archived items)
ArchiveFolders3.pst (contains 2009 archived items)
ArchiveFolders4.pst (contains 2010 archived items)
ArchiveFolders5.pst (contains 2011 archived items)
ArchiveFolders6.pst (contains 2012 archived items)

I see all of these in my folder view when viewing my Mail. However, when viewing my calendar, my folder view displays the following archive folders:
Calendar
Calendar in Personal Folders [this is identical to “Calendar,” above]
Archive Folders 1 (2007) in Archive Folders 1 (2007)
Archive Folders 2 (2008) in Archive Folders 2 (2008)
Calendar in Archive Folders 2 (2008)
Calendar in Archive Folders 4 (2010)
Calendar in Archive Folders 5 (2011
Calendar in Archive Folders 6 (2012)

My questions:
1. You will note “Calendar in Archive Folders 3 (2009)” is missing. I believe it is actually “Archive Folders 2 (2008) in Archive Folders 2 (2008)” and it somehow got renamed. Is this possible?

2. I am trying to rename “Archive Folders 2 (2008) in Archive Folders 2 (2008),” but the most I am able to change is the first part of the name (“Archive Folders 2 (2008)”).
So even if I were to change it to, say, “Archive Folders 3 (2009),” the full name would be “Archive Folders 3 (2009) in Archive Folders 2 (2008),” which is very confusing.
Is it possible to change the full name to “Archive Folders 3 (2009) in Archive Folders 3 (2009)”?

JMT

To change the second part:
Switch to E-mail.
In the navigation pane, right-click one of the headings corresponding to a .pst file.
Select '... Properties' from the context menu.
Click Advanced...
You can change the display name of the .pst file here (this is not necessarily the same as the filename).
Click OK twice.
Best wishes,
Hans

I think if I tried your proposal, then “Archive Folders 2 (2008) in Archive Folders 2 (2008)” would become “Archive Folders 2 (2008) in Archive Folders 3 (2009),” which is what I want, but “Calendar in Archive Folders 2 (2008)” would then become “Calendar in Archive Folders 3 (2009)” as well, which I don’t want. Moreover, “Archive Folders 2 (2008)” would become “Archive Folders 3 (2009)” in the email view, which I also don’t want because it contains my 2008, not 2009 emails. I only want to change the display in calendar view.

That is not possible, as far as I know.

Why do I have two instances of “in Archive Folders 2 (2008)” under my Calendar display to begin with? I do think Outlook may be confused and intended to call that “in Archive Folders 3 (2009)” because: (i) there should not be two instances of the same file in Calendar view; and (ii) there is no instance of “in Archive Folders 3 (2009)” in Calendar view.

I'd create a new e-mail profile in the Mail control panel, then add the correct .pst files one by one.
Hopefully that will sort out these problems.

Before doing down that route, how can I get Archive Folders 3 (2009) to display in my Calendar view to begin with? From Calendar view, whenever I try opening up the corresponding .pst file (ArchiveFolders3.pst), Outlook shifts to Email view and displays the 2009 archived emails. I then switch back to Calendar view but Archive Folders 3 (2009) is still not displaying.

Perhaps Archive Folders 3 (2009) doesn't contain a Calendar?

If that were the case, wouldn't it simply display as empty?

No, I have some .pst files with a calendar, and some without. When I switch to Calendar, only those that have a calendar are displayed.

Two things I don’t understand:
- For some reason, Archive Folders 2 (2008) (which corresponds to ArchiveFolders2.pst) shows up twice in Calendar view. How is that possible? Can I get everything in both instances to show up only once?
- If it is true that Archive Folders 3 (2009) (which corresponds to ArchiveFolders3.pst) does not show up in Calendar view because it has no items, how can I add items to it? Perhaps it is possible to add the items from the instance of Archive Folders 2 (2008) that are from 2009 to Archive Folders 3 (2009) and then remove the instance of Archive Folders 2 (2008) that contains items from 2009.

I just found the cause of the problem. Two calendar archives are contained in Archive Folders 2 (2008): one for 2008 and one for 2009. This could be viewed by viewing the file tree by selecting ctrl + Y (see attached image). It is possible to remove the 2009 calendar archive from Archive Folders 2 (2008) and move it to Archive Folders 3 (2009)? I already tried dragging it in while in the ctrl + Y view but nothing happened.

Press Ctrl+6 so that you can see folders of ALL types.
Right-click Archive Folders 3 (2009) and select New Folder... from the context menu.
Type a name, then select 'Calendar Items' from the 'Folder contains' dropdown.
Verify that the folder will be created under the correct .pst file, then click OK.

You can now move (drag) calendar items from another calendar to the new one. This is easiest in one of the list views.

I never knew of ctrl + 6 until now--thank you.

I found an easier solution to be to go to ctrl + 6 view, expand Archive Folders 2 (2008) and drag the calendar file 2009 into Archive Folders 3 (2009). Unlike when in ctrl + Y, when in ctrl + 6, files can be dragged and dropped.

In all recent versions of Outlook, you can use the following shortcuts (among many others):

Ctrl+1: switch to Mail
Ctrl+2: switch to Calendar
Ctrl+3: switch to Contacts
Ctrl+4: switch to Tasks
Ctrl+5: switch to Notes
Ctrl+6: switch to Folder List
Ctrl+7: switch to Shortcuts
Best wishes,
Hans
